In this blog, we are going to cover the schedule features available in Bold Reports On Premise and how to configure them. This includes how to add, edit, delete, run, enable, and disable schedules in Bold Reports On-Premise edition. Reports generated on a schedule can be sent to individuals or groups in popular file formats like PDF, Word, Excel, HTML, PPT, and CSV.
Create a schedule
Only users with the Create All Schedules permission can create schedules for reports. They can be created in the following ways:
Option 1: Add schedule from create menu
Click the Create Report icon in the navigation menu on the left side of the screen and choose Schedule from the sub-navigation menu.
Option 2: Add schedule from the context menu of a report
Click the Actions button on a report in the reports list and select Create Schedule.

Option 3: Add schedule from sidebar
Click Schedules in the sidebar of the Report Server. This will redirect to the Schedules page. Click Create Schedule.

Customizing schedule configuration
Select a category from the Category drop-down and choose your report from the Report drop-down. Enter a name in the Schedule Name text box. If your report has parameter values, then enable the Set parameters option.

Choose recurrence interval for the report
Report Server helps you manage your reports by automating the report generation process. The following five recurrence types are available for schedules:
- Daily.
- Hourly.
- Weekly.
- Monthly.
- Yearly.
The schedule can recur at a specific number of minutes by using the Hourly type and starting the schedule.

Compress and send the report
The scheduling capabilities also support compressing large report files so they can be downloaded in a matter of minutes. Enable the File Compression option in the Schedule dialog to compress your reports in zip format.

Password-protect your scheduled report
Bold Reports also provides secure file transfers. You can secure your exported reports by enabling password protection in the Schedule dialog box by two methods:
- Default Password.
- Custom Password.

Enable password protection.
Default Password
By default, the password for the report is generated by taking the first and last four characters of your email address.

Custom Password
You can provide customized password protection by choosing a custom password. Your first name, last name and email address will be used in combinations for password.
For instance, you have a sample user with the following details:
First name: John
Last name: Michael
Email: johnmichael@gmail.com
With this sample user, the possible password combinations are explained in the table that follows.
Note: If a last name is not provided, only the rules specified for the first name will be used.

Customize the scheduled report email template
In the latest release, we have added a feature enabling mail template customization.

Predefined variables for mail Template
We have provided access to a set of predefined variables for users to insert into their mail templates:
- Full Name.
- First Name.
- Schedule Name.
- Report Name.
- Report Link.
- Export Name.
- Organization Name.
Share reports with a user, a group of users, or an external recipient
You can select the exported report format from popular file formats like PDF, Excel, Word, HTML, PPT, and CSV and then share the reports to the desired person or group by enabling the Email attachment option. You can also share the report to an external recipient by adding their email address via the External Recipients text box.

Save the scheduled report as a file
In some cases, you may want to share the generated report file to a shared location instead of sending it through individual emails. Using the Save as file option, you can save the report locally in any drive. Just enable the Save as file option in the Schedule dialog, select where on your drive you want the file to be stored by entering a location in the Export path

Run the schedule
You can run the schedule instantly using the Run Now option in the from the scheduler grid. This will run the schedule immediately and share the report with the selected recipients.

Edit your schedule
You can edit your schedule’s category, reports, name, recurrence type, recurrence interval, start date, end date, export format, and recipients through the Edit dialog box.

Enable or disable schedules
Schedules can be disabled at any time to ignore the next occurrence. When enabled, the next occurrence will run accordingly.

Delete schedules
Schedules that are no longer needed by clicking the Actions button in the schedule grid context menu and select Delete .
